What You’ll Do
As Provider Scheduling & Access Coordinator, you will play a critical role in the daily execution and continuous optimization of our scheduling workflows. You will manage provider operating hours, respond to real-time changes, and ensure accurate availability across platforms. Your work enables efficient patient access and reduces administrative burden on clinical staff by ensuring scheduling systems are clean, consistent, and patient-ready. You will serve as the operational bridge between our provider network and our scheduling systems, directly managing logistics across the entire organization. This role supports all service lines (APPs, Registered Dietitians, and Behavioral Health Providers) and requires comfort working across multiple U.S. time zones.
Responsibilities Include
- Manage and maintain provider operating hours and admin time across Salesforce and Google Calendar, ensuring accuracy, consistency, and alignment across systems.
- Execute workflows related to cancellations, call-outs, and rescheduling; coordinate coverage and conduct patient outreach via Talkdesk to minimize care disruption.
- Build and maintain an internal waitlist and gap-fill strategy in collaboration with Provider and Systems Operations, ensuring efficient use of open slots and improved patient access.
- Conduct routine audits of scheduling systems to identify and resolve errors or discrepancies in availability, appointment types, or calendar syncs.
- Identify opportunities to optimize daily schedules by shifting appointments, moving up visits, or backfilling gaps with onboarding or waitlist patients.
- Support execution of provider onboarding transitions, including setup and scheduling support in partnership with clinical leadership and Provider Ops.
- Track and surface system-level issues or workflow inefficiencies for improvement by the Systems Operations Manager.
- Participate in scheduling-focused meetings and contribute insights to help improve internal processes, documentation, and team collaboration.
- Collaborate with the Provider Operations Manager to refine and maintain scheduling SOPs and ensure consistent execution across all service lines.

What You'll Bring to the Team
- Minimum of 2–3 years of experience in healthcare scheduling or provider operations, preferably within a digital health or telehealth environment.
- Familiarity with scheduling systems and provider coverage models
- Strong experience with Google Calendar, Salesforce, Slack, and Talkdesk (or similar tools).
- Ability to maintain accuracy across multiple systems and timelines.
- Confidence speaking with patients directly, with professionalism and empathy.
- Comfort working cross-functionally with clinical and operational teams.
- A foundational understanding of operational workflows and a desire to grow beyond task-based coordination work.
