Job Description:

The RCM Lab Supervisor oversees daily laboratory send‑out workflows, specimen coordination, reference laboratory communication, and laboratory authorization activities. This role provides hands‑on supervision of staff, ensures timely testing and results reporting, supports physicians and clinics with laboratory inquiries, and partners closely with Revenue Cycle and laboratory teams to support compliance and reimbursement.

Responsibilities:

  • Supervise daily laboratory send‑out operations, including specimen requests, documentation, tracking, and order placement with reference laboratories.

  • Monitor all testing orders to ensure timely results, follow up on delays, and ensure reports are accurately imported into clinical systems.

  • Serve as the primary point of contact for reference laboratories, physicians, clinics, and internal laboratory teams regarding send‑out testing.

  • Notify clinical staff of insufficient specimens and coordinate next steps.

  • Oversee laboratory authorization staff, including daily workload management, coaching, audits, and performance feedback.

  • Ensure prior authorizations are obtained in compliance with payer requirements and maintain accurate documentation in the EMR.

  • Act as liaison to Revenue Cycle for laboratory-related authorization, coverage, and reimbursement matters.

  • Research payer policies, coverage determinations, and coding guidelines to support laboratory testing and authorization processes.

  • Assist with MolDx filings, market access support, and reimbursement education for new laboratory testing.

  • Conduct monthly staff meetings and support standardized workflows, policies, and procedures.

  • Maintain knowledge of laboratory testing, CPT/ICD‑10 coding, and payer billing regulations.

Required Qualifications:

  • 3-5 years of experience in laboratory operations, pathology send‑outs, or laboratory authorizations.

  • Working knowledge of laboratory testing workflows, specimen requirements, and reference laboratory processes.

  • Knowledge of insurance authorization processes, payer policies, CPT and ICD‑10 coding.

  • Prior supervisory or lead experience preferred.

  • Strong communication, organization, and problem‑solving skills.

Essential Competencies:

  • Excellent written and verbal communication skills with the ability to effectively communicate and establish collaborative relationships with physicians, patients, clinical and administrative staff.

  • Strong inter-personal and customer service skills.

  • Knowledge of clinic laboratory testing, medical practice, medical terminology and laboratory policy required.

  • Knowledge of CPT and Diagnosis codes, payer guidelines and billing functions.

  • Ability to multi-task and prioritize in a Business Office environment.

  • Ability to recognize, evaluate and solve problems.

  • Strong organizational skills and attention to detail.

  • Proficient in the use of end-user computer applications regarding productivity (MS Word, Excel, Outlook), database and patient scheduling and other medical information systems.
