Job Description:
The Medical Oncology New Patient Coordinator plays a critical role in ensuring a seamless transition for patients entering oncology care. This position is responsible for managing all internal and external referrals to Medical Oncology, scheduling initial consultations in a timely manner, and making strong connections with patients as they begin their treatment journey. The coordinator will proactively reach out to new oncology patients, guiding them through the next steps and ensuring they have the information and resources they need. This role works closely with the Medical Oncology team and UUG physicians to streamline patient navigation and create a positive, well-coordinated experience.
Primary Duties & Responsibilities:
Conduct incoming and outgoing calls in response to new patient referrals.
Assist patients with the completion of all necessary intake paperwork.
Create new patient charts using the practice management and EMR system.
Obtain all necessary demographic and insurance information.
Conduct insurance checks prior to scheduling a patient to ensure in-network eligibility.
Assign and schedule new patients according to practice referral guidelines.
Maintain accurate daily records of new patient tracking for administrative team.
Verify that patient fully understands the continuum of care model and that UUG will be working with them to manage their condition.
Communicate with referring physicians as appropriate.
Protect patient privacy by adhering to the HIPAA confidentiality guidelines.
Contribute to team effort by communicating effectively with other departments, as needed.
Maintain daily operations of the office by following standard policies and procedures.
Follow up with patients who have not shown up or canceled their initial consultation, overcoming objections to future visits when appropriate.
Maintain strong knowledge of medical oncology therapies so that appropriate responses can be provided to patients who may have questions.
Assist with Chats or Inbound phone support as the business requires.
Assist with Support Services Level I and Level II work as the business requires.

Qualifications:
Minimum of one (1) year with UUG in an Inbound Specialist, Support Services Specialist II, Clinical POC, or Medical Assistant role.
Knowledge, Competencies & Skills:
Ability to work independently with minimal supervision.
Excellent customer service capabilities are required.
Extremely caring, compassionate, and patient.
Ability to work well under pressure.
Comfortable working in a high-paced, production-oriented environment.
Excellent written, verbal, and interpersonal communication skills.
Proficient in commonly used computer software (ex., Microsoft Office Suite).
Independently able to use resources, showing strong initiative in utilizing resources.
Confident in placing outbound calls.
Strong knowledge/familiarity with medications used for chronic conditions and with advanced treatments.

Must have the ability & willingness to travel to other sites as necessary within a geographic region.
Physical Requirements for the Job:
Regularly required to sit and stand for extended periods.
Intermittently required to stoop, bend, speak, and listen.
Requires full range of body motion, including manual and finger dexterity and eye-hand coordination.
Occasionally lifts and carry items weighing up to 25 lbs.
