Job Description:

The Provider Recruitment Support Specialist will report to OneOncology’s Vice President of Physician and APP Recruitment. The Provider Recruitment Support Specialist serves as a vital support resource to the provider recruitment team, handling a wide range of administrative tasks to ensure smooth day-to-day operations. This role focuses on behind-the-scenes coordination, including managing internal team communications, maintaining accurate and up-to-date records in the applicant tracking system, assisting with job ad creation and posting across various job boards, and supporting the preparation of reports and documentation. With a strong attention to detail and a proactive approach, this role helps keep the recruitment process organized, efficient, and on track. The Specialist also assists with a variety of other tasks and special projects as needed to support the overall success of the provider recruitment function.

This is an entry-level position and accepting college new grads.

Responsibilities

  • Provides comprehensive administrative and operational support to the VP of Physician and APP Recruitment and broader recruitment team on various initiatives and projects.
  • Assists in preparing and posting job advertisements across multiple platforms, including company websites and external job boards; ensures postings are current and meet internal standards.
  • Supports the upkeep of recruitment systems, including maintaining accurate and timely data in the applicant tracking system (ATS), currently Monday.com. This includes tracking open positions, interview activity, candidate status updates, and offer outcomes.
  • Offers day-to-day support to recruiters by managing internal documentation, facilitating communications, and providing assistance with candidate outreach and follow-up when needed.
  • Coordinates logistics for job fairs, conferences, and recruitment events; assists with the preparation of promotional materials, including banners, flyers, and digital content.
  • Collaborates with the recruitment team to gather and input data for monthly, quarterly, and annual reporting on internal and external recruitment metrics.
  • Provides support with job board maintenance, including refreshing postings and ensuring accuracy across platforms.
  • Conducts research on recruitment trends, tools, and competitor activity to help inform recruitment strategies and improve operational effectiveness.
  • Partners with cross-functional teams to help monitor candidate activity, track newly added providers, and support the communication of recruitment updates to senior leadership.
  • Assists with social media efforts and marketing coordination related to provider recruitment, including conferences and fellowship panels.
  • Assists with candidate travel arrangements and supports the submission and tracking of travel reimbursements to ensure timely and accurate processing.
  • Serves as a key resource for ATS-related support across the recruitment team.
  • Performs additional administrative tasks and special projects as assigned to support the success of the provider recruitment function and the organization’s mission.
  • Other duties as assigned to help drive our mission of improving the lives of everyone living with cancer.

Key Qualifications/Competencies

  • Bachelor’s degree in human resources, Healthcare or related field or equivalent job experience
  • Some travel required
  • Entry-level position ideal for individuals looking to gain experience in healthcare recruitment operations and administrative support within a collaborative team environment.
  • Strong proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and ability to quickly learn and navigate applicant tracking systems and other recruitment-related tools.
  • Clear and professional communication skills, with the ability to interact effectively with internal stakeholders, candidates, and team members across various departments.
  • Strong organizational skills with the ability to manage multiple administrative tasks, prioritize responsibilities, and meet deadlines in a fast-paced environment.
  • High attention to detail and accuracy in data entry, documentation, and reporting.
  • Demonstrated ability to support and collaborate with cross-functional teams while maintaining a service-oriented and team-first mindset.
  • Resourceful and proactive in identifying and resolving operational issues; comfortable working independently while seeking guidance when needed.
  • Strong written communication skills, including the ability to draft and edit clear, concise reports, emails, and recruitment materials.
