Position Summary:
The Practice Coordinator / Medical Assistant is responsible for overseeing the daily operations of the onsite clinic while actively supporting clinical care delivery. This hybrid role ensures efficient clinic management, exceptional patient experience, and hands-on clinical support. The individual serves as both a leader and a key member of the care team, stepping in as needed to perform Medical Assistant duties including patient intake, procedures, and administrative support.
This position plays a critical role in maintaining clinic flow, supporting providers, supervising staff, and ensuring high-quality, patient-centered care.
ESSENTIAL FUNCTIONS:
Leadership & Operations:
• Responsible for day-to-day clinic operations, staff scheduling, and supervision of all onsite employees.
• Ensure staff are working productively, professionally, and within scope of practice.
• Approve timesheets and ensure payroll accuracy.
• Monitor patient throughput, wait times, and satisfaction; implement improvements as needed.
• Address patient concerns and lead service recovery efforts.
• Ensure compliance with HIPAA and all regulatory requirements.
• Maintain clinic facilities, equipment, and supply inventory.
• Serve as on-site resource for staff, providers, and patients; assist with onboarding and training.
• Communicate effectively with leadership regarding clinic performance, staff issues, and operational concerns.
• Collaborate with leadership on staff evaluations, coaching, and disciplinary actions.
Clinical & Patient Care Support:
• Verify patient information, obtain medical histories, and document visit purposes.
• Prepare patients for examination, including vital signs and preliminary assessments.
• Perform patient intake (“work up”) and ensure accurate and timely charting in the EMR.
• Administer injections and medications as directed by providers and within scope of practice.
• Assist with lab testing, specimen collection, and phlebotomy.
• Prepare exam and treatment rooms and assist providers during procedures and physicals.
• Observe and report changes in patient condition, including adverse reactions.
• Instruct patients on tests, procedures, and sample collection.
• Assist with immunizations, treatments, and in-clinic procedures.
Administrative & Coordination Duties:
• Coordinate patient scheduling, referrals, and pre-authorizations.
• Support front desk operations as needed, including check-in/check-out.
• Manage EMR workflows, documentation, and coding accuracy.
• Obtain and manage patient records, lab results, and test reports.
• Ensure patient confidentiality and secure handling of medical records.
• Maintain clinic supplies and coordinate ordering and inventory.

QUALIFICATIONS / EXPERIENCE:
• Associate degree in a related field preferred.
• Minimum of two (2) years of medical office or outpatient clinic experience.
• Minimum of two (2) years of supervisory or leadership experience in a medical or outpatient setting.
• Working knowledge of outpatient clinic workflow, scheduling, and patient flow management.
• Active Medical Assistant certification or equivalent experience required and or active LPN
• BLS certification required.
• Willingness to travel between multiple clinic sites as needed.
PHYSICAL REQUIREMENTS:
• Ability to stand, sit, stoop, kneel, crouch, and reach.
• Ability to lift, push, and pull as required in a clinical setting.
• Ability to see, hear, and communicate effectively.

• Strong communication skills, including active listening and empathy, to effectively address patient needs and concerns and coordinate care.
• Proficient in basic technology (Microsoft products, etc).
• Ability or willingness to learn patient engagement software / customer service systems that enable omnichannel (text, phone, video, email) communication with patients and teammates.
• Ability or willingness to learn basic Electronic Medical Record (EMR) systems.
• Ability to multi-task and work independently with excellent organizational skills.
• Must possess a strong sense of professionalism
