Position: Executive Assistant
We are looking for a highly experienced, energetic, hyper-organized, and motivated Executive Assistant to handle a wide array of administrative tasks to support the work of our Regional Operations President.
Roles and Responsibilities

Provide extensive calendar support and regularly supervise and adjust the CEO’s calendar and schedule. This will include giving reminders as required, be available for last-minute changes, proactively prioritize meetings and resolve conflicts.

Provide support to the Board of Directors to organize and schedule monthly and annual meetings. Requires regular communication with advisors and/or their assistants.

Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company.

Thoroughly research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.

Research, book, and coordinate travel. Ensure required travel documents are in place, build itineraries, maintain travel credits, points, and expenses, maintain, and update calendar, and liaise with required parties at travel destination(s).

Process expense report for the CEO and his direct reports and advisory members. Liaison with accounting to ensure payment is processed.

Maintain memberships and subscriptions including setting calendar reminders, handling correspondence, and processing payment.

Assignment of special projects as requested.
Position Requirements

Brentwood, TN Location

At least 8 years administrative support experience, executive level preferred

Bachelor's degree is preferred.

Excellent time management skills and ability to demonstrate high attention to detail.

Confidence to function in a role that requires a high degree of flexibility with the ability to independently interpret policies and solve non-routine, complex issues under minimal supervision.

Utilizing your strong interpersonal skills, you easily build relationships with investors, staff, business associates, and board members.

Regularly handle confidential information with utmost discretion and confidentiality

Ability to be flexible and available as needed throughout the workday.

Self-starting, critical problem solver who can switch priorities at a moment’s notice with minimal or no direction.

Ability to present a positive and respectful front in all situations.

Desire to work in entrepreneurial environment and be committed to our mission.

Strong proficiency in Microsoft Office suite; advanced Outlook, Word, and PowerPoint skills

Experience with technologies such as Expensify, Zoho, video conference systems, and Zoom.
